Camp and Child Care Programs Cancellation and Refund Policies

Programs include licensed or exempt child care programs, early education, day camps, overnight camps, and excursions.

The YMCA of Greater Seattle does not impose contracts on our participants, and participants are free to cancel programs at any time. Written notice is required to cancel a program. Participants must submit cancellation request in writing via web form prior to their next scheduled draft date.

Participant initiated cancellations

Day Camps in King and Snohomish counties

  • If a participant wishes to cancel a weekly day camp enrollment and receive a system credit, they must submit in writing via this web form no later than Wednesday by 12:00pm 12 days prior to the start of the camp session week. Any deposits or registration fees are non-refundable and non-transferable outside of day camp program types. For cancellations after the deadline, deposits and registration fees will not result in a system credit except for unforeseen circumstances and subject to the approval of the supervisor.
  • If a participant wishes to cancel a daily day camp enrollment, they must submit in writing via web form 2 business days before the day they wish to cancel to receive a system credit. Any deposits or registration fees are non-refundable and non-transferable outside of day camp program types. For cancellations after the deadline, deposits and registration fees will not result in a system credit except for unforeseen circumstances and subject to the approval of the supervisor.

Child Care

  • Before and After School Enrichment (BASE) and Early Education
    • If a participant wishes to cancel enrollment, they must submit a request in writing via web form 14 days prior to the start of each month. Any deposits or registration fees are non-refundable and non-transferable outside of child care program types. For cancellations after the deadline, deposits and registration fees will not result in a system credit except for unforeseen circumstances and subject to the approval of the supervisor.
  • Enrichment Class
    • If a participant wishes to cancel enrollment in a class, they must submit a request in writing via webform 2 business days before the start of the session to receive a system credit. There are no credits given if the request is submitted more than 7 days after the first class. Cancellations after the deadline, deposits and registration fees will not result in a system credit except for unforeseen circumstances and subject to the approval of the supervisor.

Overnight Camps and Excursions

  • User Groups (conferences, school groups, property rentals, etc.)
    • A user group can cancel at any time, but if that cancellation occurs after the signed agreement has been submitted to the YMCA, the group will forfeit their deposit or be responsible for 50% of the guaranteed minimum of participants - whichever is greater. If a group cancels within 30 days of the arrival date, the group will be responsible for 90% of the confirmed group participants. For cancellations after the deadline, deposits and registration fees will not result in a system credit except for unforeseen circumstances and subject to the approval of the supervisor.
  • Family Camps and Weekend Retreats
    • An individual or family can cancel at any time. Full refunds are available on any cancellations made at least 30 days before the camp start date. Participants must notify the YMCA by phone or email for cancellations. Refunds on cancellations made for any reason within 30 days of the camp start date will be at the discretion of the YMCA. For cancellations after the deadline, deposits and registration fees will not result in a system credit except for unforeseen circumstances and subject to the approval of the supervisor.
  • Overnight and Day Camping Programs (Camp Orkila, Camp Colman, and BOLD & GOLD)
    • Cancellations received by June 1 are eligible for a refund of fees less the non-refundable deposit. Any cancellations or refund requests received after June 1 (via email or phone) are not eligible for refund. Approved refunds are processed via original payment method. Extenuating circumstances may be reviewed and potentially approved at the discretion of the YMCA. No refunds are granted for campers who are late arrivals, no shows, or who are asked to leave camp early for behavioral issues.

YMCA initiated cancellations 

  • All schedules, activities, class fees and staff may be changed or cancelled by the YMCA without notice. If the YMCA cancels a fee-based class or program for any reason, a credit toward another session/service will be issued automatically. Credits will be applied to any past due or future scheduled payments. Upon written request via web form, a refund will be provided.
  • When the Y closes a facility or program due to events outside of the Y’s control (i.e. weather, environmental hazard, civil emergency, etc.) the Y will issue a prorated program credit for each day of programming missed after 3 days for monthly child care programs and after 1 day missed for weekly camps or session-based enrichment. (i.e. smoke related cancelation for 2 days at summer camp; they Y credits me 1 day). The credit is valid for 12 months toward any YMCA of Greater Seattle program or service. Credits will be applied to any past due or future scheduled payments. Alternatively, the credit may be donated back to the Y and a a donation receipt will be provided.
