Frequently Asked Questions (FAQs)

Who can participate in Parents’ Day and Night Out?

Parents’ Day and Night Out is designed to meet the needs of kids ages 6 weeks to 9 years. This program is open to both Y members and community.

I cannot afford the full cost of the program. Is financial assistance available?

Yes! The Y is committed to ensuring all families have access to quality and enriching youth programs. If the fee for this program presents a challenge for your family, financial assistance is available.

For Y members, your program assistance is already attached to your Y account and available upon registration. For community members, please drop by your local Y or call us at (206) 382-5022 to learn more. 
 

What is the staff to participant ratio?
  • Ages 6 weeks to 3 years: No more than 8 kids per two staff
  • Ages 3 to 9 years: No more than 12 kids per staff
What will my child do during Parents’ Day and Night Out and what spaces are available for use?

Kids will engage in:

  • Rotations of theme-based STEM and arts projects
  • Active play and group games
  • Snacks or meals

Types of spaces Parents’ Day and Night Out will utilize:

  • Kids Zone activity centers
  • Indoor play structures and tumbling mats
  • Outdoor playgrounds
  • Gyms
  • Community rooms

Options vary by age group and location.

Can I check my child in late or pick them up early?
  • You may check in or out anytime.
  • Structured activities and schedules are planned for each program so the longer your child is present, the more opportunity they will have to participate.
  • Once you have checked your child out, you may not check them back in that same day.
If one parent or guardian drops off a child, may another pick up them up?

Yes, however both the drop-off and pick-up parent or guardian must be on the child’s membership record in Traction Rec. 

May my child bring their own toys or snacks? 

In general, we do not allow outside toys, food, or drinks at Parents’ Day and Night Out.

The exception is bottles (breast milk or formula) for our youngest participants who are bottle feeding. Please label pre-mixed bottles of formula or breast milk and pack in a cooling container as we are unable to refrigerate.

Bringing a water bottle is okay but please label the bottle with your child’s name.

What does my child need to bring?
  • Socks (may wear or bring with)
  • Jacket (for the possibility of outdoor play)
Does my child need to be potty trained?
  • For our infant and toddler program, potty trained is not required. However, potty trained is required for the youth program. 
  • Please provide diapers, pull-ups, or wipes for your child.
  • If your child is in the process of potty training, please provide a change of clothes in case of accident.
Are snacks or meals provided?

Depending on time, either a small meal or hearty snack will be served. Some examples of these are:

  • Small meal: sandwich, chips, and fruit or English muffin pizza and veggies
  • Hearty snack: string cheese, chips & salsa, and fresh fruit or veggies

Please provide any allergy, dietary, or food-sensitivity information at registration.

What is the late pick-up policy for Parents’ Night Out and Parents’ Day Out?

Purpose 

The Y's late fee policy ensures timely pick-up of children and maintains a consistent and respectful environment for staff and families. This SOP outlines the procedures and consequences for late pick-ups from our Parents' Night Out (PNO) AND Parents' Day Out (PNO) programs. 

Scope & Overview 

This policy applies to all families enrolled in the Y's PNO/PDO programs. Participants are expected to pick up their children by the scheduled end of the program. Failure to do so will result in a warning on the first offense and monetary penalties for subsequent violations. 

Procedure 

  1. Late Pick-Up Definition

    A pick-up is considered late if a child remains on site for more than 15 minutes after the program's scheduled end time. 

  2. First-Time Late Pick-Up 
    • Action Taken:
      • Staff will issue a verbal warning by kindly reminding the parent/guardian of the pick-up time. 
      • A note will be added to the families' account in Traction Rec; this should include the date, time, staff involved and indicate that a warning has been issued. 
  3. Subsequent Late Pick-Ups
    • Action Taken 
      • A late fee of $15 will be applied to the participants' account if they are 15 minutes late, and a late fee of $25 will be applied to their account if they are 30 minutes late. (POS - Back Office) 
      • Staff will document the late pick-up in Traction Rec, including the total number of minutes late and the total fee applied. 
      • Staff will alert parents/guardians of the late fee at the time of the pick-up. 
  4. Payment and Collection 
    • Late fees must be paid before the child may return to the program. 
    • The account balance will reflect the fee and can be paid online or in-person with Member Services. 

Documentation Requirements 

  • All late pick-up incidents (warning or fee) must be documented in the system under the participant's account:
  • Use consistent language and include:
    • Date and Time 
    • Scheduled vs actual pick-up time 
    • Name of the staff documenting 
    • Fee (if applicable) 
    • Parent/guardian informed (yes/no) 

Exceptions 

  • YMCA leadership may waive late fees at their discretion due to emergency circumstances or unforeseen events. 
  • Consistent or excessive late pick-up (3+ incidents) may result in a meeting with program leadership and possible dismissal from the program. 

Communication to Families 

This policy will be communicated: 

  • At registration (online) 
  • In welcome emails to parents/guardians 
  • Posted at the program check-in/out area
